What changes when you outsource the bookkeeping.

Outsourced bookkeeping services hand the recording, reconciling, closing and reporting of your books to an outside provider. The service replaces an in-house hire, a part-time contractor or your own weekends. The work happens inside your own accounting software. It runs on a fixed monthly schedule, for a fixed monthly fee.

Financial charts, a calculator and a notebook on a bookkeeping desk

The trigger is usually the same. Your volume has outgrown a spreadsheet, but not by enough to justify a full-time hire. The BLS put the median bookkeeping clerk wage at $49,210 in May 2024, and payroll tax, benefits and software sit on top. Outsourced bookkeeping services fill that gap. The scope grows with your business, not with your payroll.

The file stays in your name
We log in to your QuickBooks, Xero or Sage file. Nothing moves to a system you would lose if you left.
A close that is written down
Your close follows a checklist built around how you sell and spend. Each month passes a second review before you see it.
The same dates each month
Transactions are coded as they arrive. The books close in the first week, and statements land by the 10th.
Ready for your CPA
The close follows U.S. GAAP habits on a clean chart of accounts, so your CPA can file from it without a rebuild.

What the monthly fee includes, line by line.

Many small business bookkeeping services start with a low quote that grows each time something new comes up. This is the full outsourced scope, in the order the work happens.

Three things you get from an outsourced close.

A close written down, not memorized

How you invoice, which vendors repeat, how owner draws are booked. All of it goes into a written checklist for your account. That is why the output looks the same every month. A holiday or a schedule change on our side never shows up in your statements.

  • A written close checklist per account
  • Every close checked twice
  • Replies within 24 hours on business days

A fixed price you see before you sign

The fee is set by volume and scope, not by the hour. A busy month costs the same as a quiet one, and asking a question never starts a meter. You get the number in writing within 24 hours of the first call. It is the number on the invoice.

  • Never billed by the hour
  • No fee to get started
  • Month to month, no lock-in

Books your CPA files from, not fixes

Every account is reconciled, coded and closed on a chart of accounts that fits your industry. At year end your CPA gets a file they can work from. That is the gap between a handoff and a rescue. It is often the gap between a normal tax fee and a rush one.

Outsourced bookkeeping vs. hiring in-house.

Most owners reading this are choosing between bookkeeping outsourcing services and a hire. Here is a plain side-by-side on the six things that differ.

An in-house bookkeeperWith Twelix
  • Annual costA salary near the $49,210 BLS median, plus payroll tax, benefits and softwareOne flat monthly fee, set by transaction volume
  • Time to startFour to eight weeks to post, interview and trainSet up within 48 hours of saying yes
  • Time offBooks stop during vacations, sick days and notice periodsThe close keeps its dates through holidays and time off
  • Skill rangeOne person's experience, at the salary you can payPreparation, second review and accounting oversight in one fee
  • SoftwareYou buy and run the subscriptionsWe work in the file you already own
  • GrowthMore volume means overtime or a second hireThe scope grows while your payroll stays put

Handed over in 48 hours, then closed on fixed dates.

First comes a short handover, done once. Then a monthly close keeps the same dates for as long as you stay.

Getting set up

Done once, in about two days
  1. 01

    Day 0

    Free bookkeeping call

Half an hour on how you sell, what software you use and how current the books are. We do not ask for any logins yet.

  2. 02

    Day 1

    Scope and fee in writing

One monthly number and a list of what it covers, so nothing is open to debate later.

  3. 03

    Day 2

    Logins and a file review

We connect with the lowest access that works, then review the whole file before we post anything. Anything that needs fixing first is flagged.

Where and how your books get done.

Choosing a bookkeeping outsourcing company starts with one question: where is the work done? Many providers stay vague on this. Twelix runs its work from an operations center in India, for U.S. businesses. That is how a full close and a second review fit inside one flat monthly fee.

Two checks on every close

Each close is prepared, then checked again in a separate review before delivery. The review comes with the service, not as an add-on.

Overlap with your workday

Our working hours overlap with the U.S. workday. Questions you send during your day are answered within 24 hours on business days.

You set the access level

Read-only links where the software allows it, role-based permissions, full audit logs and signed confidentiality agreements.

No freelancers or resellers

Twelix does not pass work to freelancers or bookkeeping marketplaces. The service you sign up for is the one that runs your books.

Questions about outsourced bookkeeping services.

  1. Twelix charges one flat monthly fee, set by how many transactions and accounts you have. There is no hourly billing and no setup fee, so your outsourced bookkeeping cost holds steady in busy months. For context, the BLS median wage for bookkeeping clerks was $49,210 in May 2024. Payroll tax, benefits and software sit on top of that. Your written quote arrives within 24 hours of a free call, and it is the figure on every invoice.

  2. Outsourced bookkeeping services cover coding every transaction, reconciling each bank, card and loan account, and closing each month. That includes posting payroll and sales tax entries and keeping bills and invoices current. Each close then gets a second review. You receive a profit and loss, balance sheet, cash flow statement and aging reports by the 10th. You can see the full close checklist we run.

  3. You give an outsourced bookkeeping service access to your accounting software, and it runs your books on a fixed monthly schedule for a set fee. At Twelix, the file stays in your name. Your month closes against a written checklist built for your business. Bank and card feeds come in daily. Questions reach you by email, and the finished close comes back to you each month.

  4. It is usually worth it once your books take more than a few hours a week but less than a full-time job. You get a written close checklist, a second review of each month and a set close date. You skip the recruiting, the payroll and the cover for time off. Under about 100 transactions a month, doing it yourself in QuickBooks or Xero can still be cheaper. We will say so on the call if that is you.

  5. No, we work inside the software you already pay for. That includes QuickBooks Online, QuickBooks Desktop, Xero, Sage, FreshBooks and Wave. Your data never moves to a Twelix platform. If your current tool cannot give you the reports you need, we will explain why. We then handle the move during onboarding at no extra charge.

  1. The work is done at Twelix's operations center in India, inside your own accounting file. Twelix focuses on U.S. businesses, and our working hours overlap with the U.S. workday. Signed confidentiality agreements cover all work on your account. This model is what lets a second review fit inside a flat fee. We tell you up front because you should know where your books are handled.

  2. Yes, we bring late or messy books current first, as a separate flat-fee project. Most catch-up work takes 3 to 15 business days, depending on how many months and accounts are open. The price is fixed before we start. Once the file is current, it moves onto the monthly close with no gap.

  3. Yes, you can switch at any point in the year, and the handover takes about two days. We start with the last month your old bookkeeper closed. Any gaps or errors we find are listed and quoted before we post a new entry. Your old bookkeeper does not need to take part, though their last reconciliation reports help. Obsidian Media, a New York marketing agency, switched to us after years of accountants who cost too much and made mistakes.

  4. Yes, each entity gets its own books, chart of accounts, close and statements. Keeping them apart matters. When two LLCs share one file, transfers between them and owner draws blur together, and neither shows a real profit. Each entity is priced on its own volume and billed on one invoice. At year end, your CPA gets a separate file for each one.

  5. Most businesses are fully set up within 48 hours of saying yes. The first call takes 30 minutes, and your scope and price follow within a day. On day two we connect to your software and build your close checklist. We also check the existing file before we post anything.
